Group or shared voicemail setup
Group Voicemail
Group Voicemails can only be changed by admins. Navigate to the group Voicemail under Voicemails and devices and select the specific Group Voicemail. After adding a personal voicemail greeting to a Group Voicemail, you can choose to play this greeting to callers without the option of leaving a voicemail.
You can also set up Voicemail under Telephony then Groups. Here you can adjust your routing diagram to determine when your Voicemail is activated and which greeting is played.
MP3 file voicemail announcements should be:
- Less than 120 seconds
- Smaller than 2 MB.
You can add a voicemail to a Group from within the Group's settings. The voicemail can be accessed by all members of the group.
To add a voicemail, please use the following instructions:
- In the Account Administration, click Telephony ➔ Groups.
- Select the Group for which you wish to add a Voicemail.
- Select Voicemail and then Manage announcements
- here you can select a pre-recorded announcement or upload your individual announcement
- calls will be sent to voicemail using the Group's Voicemail, Call Forwarding & Hunting rules.
In the Routing settings, you can easily define when the Voicemail should activate and which greeting to play. Just click on Edit Routing, then Add Forwarding, and select Voicemail. For any future adjustments, simply use the gear icon.
Playing a greeting without the option to leave a voicemail:
- After uploading a personalised greeting to a Group's voicemail there will be an additional option "Do not allow the recording of messages - just play the announcement."
- With this option selected callers will be played your pre-recorded greeting without the option to leave a voicemail message.
