How do I create and manage Users - Checklist for Administrators

Calls, faxes, and more – to enable your employees to fully utilize sipgate, the admin first needs to create and set up individual User profiles for them. After signing a contract you will automatically receive two User profiles. You can then add as many additional User profiles as needed.

Creating a User profile

Step 1 - Access User Management

In Accountmanagement go to TelephonyUsers. Click on Add User

Step 2-  User Information
Enter the Users personal details and choose the location that the User is based at.Designate whether or not to make the user an Administrator.

Step 3 - Set up phones for User
On this page you can decide what the user device "start set up will be by having the options to add A VoIP phone to the users initial setting options.

Step 4  - Numbers, extensions and groups
In the final step, the following options are available:

  • Phone Number – Allocate the User a phone number that is linked to your sipgate account.
  • Extension – Allocate the User an internal extension number that they can be reachable from by other Users on your account. By clicking on the appropriate symbol, you can see which extension numbers have already been allocated.

Delete User

To delete a User, go to AccountmanagementUsers → [Username]. In the left menu, click the three dots icon and select the Delete option.

Assigning phone numbers and extensions later

If you want to assign a phone number to a User at a later time, go to Users ➔ Routing as an Admin.

The respective routing diagram will appear on the right. Click on Edit Routing, then select Add Number to assign an available phone number. To add an extension later, click on Add Extension and enter the desired digit.

If the routing for a User is not fully set up, you will see a notification on the overview page indicating that the user is not yet able to make calls. On the User’s detail page, you can view the steps needed to complete the setup.

Adding Devices

To add more devices for Users, go to My Telephony and select Telephony in the diagram, then click on Edit Routing. Next, select Add New Device. You can choose between a VoIP phone, a mobile device, or an external phone.

Note: If you add more than two devices for a User, there is a fee of €4.95 for each additional device. 

Change Personal Data and Login

You can find personal data and passwords for users under My Telephony and User Settings. Users can change their own data, and Admins can also modify details like the login password or email address.

Assign Locations

To assign Users to your predefined locations, stay in the User Settings. Under Locations, you can adjust the assignments.

Grant Admin Rights

After creating Users, you can grant admin rights later on. Go to Accountmanagement, click on the Users tile, and then click the arrow to adjust admin rights. In Permissions Management, toggle the switch for admin rights to blue to grant them to the selected user.
