How do I create and manage Users

To enable your employees to fully utilize sipgate's telephony services, an Administrator must create and set up individual User profiles. When you sign a contract, your account will automatically include two User profiles. You can add as many additional Users as needed.

Creating a User Profile

Step 1: Access User Management

  • Log into your sipgate account as an Administrator.
  • Navigate to Account ManagementTelephonyUsers.
  • Click on Add User.

Step 2: Enter User Information

  • Fill in the User’s personal details.
  • Select the User’s location.
  • Decide whether the User should have Administrator privileges.
  • Click Add User to proceed.

Step 3: Set Up Phones for the User

  • Choose the initial device setup by adding a VoIP phone to the User’s profile.
  • If unsure, you can edit this setting later.

Step 4: Assign Numbers, Extensions, and Groups

  • Phone Number: Assign a phone number linked to your sipgate account.
  • Extension: Assign an internal extension number for communication within your organization.
  • Use the provided symbols to check existing allocations.

Managing Users

Deleting a User

  • Navigate to Account ManagementUsers → [Username].
  • Click the three-dot menu and select Delete.

Assigning Phone Numbers and Extensions Later

  • Go to UsersRouting as an Administrator.
  • Click Edit Routing in the routing diagram.
  • To assign a phone number, click Add Number.
  • To add an extension, click Add Extension and enter the desired digit.
  • If routing is incomplete, a notification will appear on the overview page.

Adding Devices

  • Navigate to My Telephony.
  • Click Telephony in the diagram and select Edit Routing.
  • Choose Add New Device.
  • Select from VoIP phones, mobile devices, or external phones.
  • Note: Additional devices beyond the first two incur a monthly fee of €4.95 per device.

Changing User Information

Updating Personal Data and Login Credentials

  • Users can change their personal data under My TelephonyUser Settings.
  • Administrators can modify login credentials, email addresses, and passwords.
  • To update information:
    • Navigate to TelephonyUsers.
    • Select the User and go to More Settings.
    • Click the cogwheel next to the desired field.
    • Make the changes and save.

Changing User Email and Name

  • Modify the User’s email address, requiring email confirmation.
  • Update the User’s first and last name.

Assigning Locations

  • Navigate to User Settings.
  • Under Locations, assign the User to a predefined location.
  • Save the changes.

Granting Administrator Rights

  • Go to Account ManagementUsers.
  • Click the arrow next to the User’s name.
  • In Permissions Management, toggle Administrator Rights to blue.

Additional User Settings

Privacy Settings for Billing

  • Modify call record storage under Account & BillsItemized Call List.
  • Choose from Complete, Shortened, or Do Not Save.

Password Management

  • Reset a User’s password under More Settings.

Enabling Web-SMS

  • Allow or disable Web-SMS messaging from the sipgate interface using the toggle in Extensions.

Newsletter Subscription

  • Users can subscribe to sipgate’s newsletter to receive updates on features, rates, and promotions.

By following these steps, Administrators can efficiently manage Users within their sipgate account, ensuring smooth telephony operations for their teams.
